What does Links Event Solutions do?

Links Event Solutions is a social enterprise that provides outdoors event equipment and staffing for hire to customers in and around Greater London.

We are part of Community Links, a charity that creates positive change for people inEast London.

Our social enterprise is designed to deliver brilliant event solutions every time, whilst creating positive employment opportunities for people in the community and providing a sustainable income stream for the work of Community Links.

 

What does this service do?

Links Event Solutions (LES) provides attractions, infrastructure and staffing for events. We also provide storage space through LES Self-Storage.

Our customers are a mix of third sector, government and private organisations as well as individuals.

What data/ information do we collect?     

Below is a list of the data that we will/may process in the course of our contact with you and the lawful basis that applies to each processing activity:

•           Full name

•           Job title/ Department/ Company

•           Address

•           Email address

•           Contact number

Why do we require your information?

There are two purposes for collecting your personal details:

  1. In order to quote for and deliver the services LES provides, i.e. providing event equipment and staffing or a self-storage unit. This will include sharing relevant and appropriate information with relevant external agencies as required to deliver the specified work, for example with third-party contactors or site/event managers, and with our parent company Community Links who do our financial processing. This information is being shared with a view to ensuring and assisting the successful delivery of your event. We will process your data in line with your legitimate interests and to deliver the services you have contracted us to provide.

 

  1. To market our services to those with an interest in event suppliers.

 

  1. This could include e-flyers outlining our product offer. We will only process your data for this purpose if we have your consent and you have the right to withdraw your consent at any point. To do please click the unsubscribe link at the bottom of our marketing emails.
  2. ii.      We also operate a reminder service where we will contact you ahead of your regular events to offer you a quote. We will process your data in line with your legitimate interests. To opt-out of this type of communication you can email les@community-links.org or call 075944 72572.

Where did we get your data from?

In some cases we may be given your personal details via referral, for example by a colleague who believes you would be interested in our services. We may also contact you if we have legitimate reason to believe you have an interest in our service, for example if you are an event organiser, and your details are listed in the public domain.

Who will we share your information with?

We will share your information with organisations where it is necessary to fulfil your event needs, for example your name and contact number with a third-party who is delivering a specific service, or a site manager if they need to contact you on the day of delivery.

Our financial processing is carried out by Community Links and Catch22, our umbrella organisations. They are bound to the same data protection legislation and will treat your personal details with full respect and security. Like most companies we use third party IT systems, specifically a rental hire software, a website hosting platform and the cloud of our parent organisation Community Links. These organisations are bound to the same data protection legislation.

We will never share your information with other companies where it is not necessary in order to deliver the work you have contracted us for.

 

How long will we hold on to your information for?

For the purpose of quoting and delivering LES’ services we will retain your personal information for a maximum of three years after your last point of contact – this will allow us to use previous event delivery to provide quicker, accurate subsequent quotations.

For marketing we will retain your details for a maximum of two years after your last point of contact or explicit consent to marketing.

What happens if the information in the records is wrong?

You will need to be specific about why you think the information is wrong and what you think we should do to correct it. If you can prove the information is incorrect, we will change it. If we cannot amend your record in the way you would like, we will explain the reason for this. You will be able to see a copy of your amended record.

 

What rights do you have over the information that we hold on your behalf?

You have several rights over your data that we are required by law to uphold. You have the following rights:

The right to access your data:

You have the right to request a copy of your data provided that your request is not unfounded or excessive. We are required to provide you with this within one month of your request. In order to request your data, please contact les@community-links.org or DPO@catch-22.org.uk

The right to lodge a complaint with the Information Commissioners Office (ICO):   

You have the right to make a complaint to the Information Commissioners Office (body that regulates Data Protection) if you feel that we have not processed your data correctly and in accordance with relevant law. Please feel free to make us aware of any concerns that you have, we will look to fix any issues quickly and efficiently.
